ClothBiz Manager: An Offline GST-Ready Inventory and Billing Automation System Using Rule-Based Domain-Specific OCR

Abstract
Smaller cloth wholesalers in India continue to use manual methods and paper-based systems, leading to discrepancies in inventory and delayed billing, among other issues. This paper describes ClothBiz Manager, an offline inventory management and billing automation solution tailored for Indian wholesale textile businesses. The solution combines a rule-based, domain-specific optical character recognition (OCR) process chain with a normalized PostgreSQL database, implemented using Java Servlets, Java Server Pages (JSP), and the Tess4J library. Our custom-developed Domain-specific Invoice Parser (DIP) processes invoices by applying domain-specific contextual rules and extracts the relevant information, including structured fields such as bale number, LR code, HSN code, and taxes. We evaluated our solution on 150 invoices obtained from Indian textile markets in Tiruppur and Surat. Our method scored 89% on exact matching for structured fields and 78% for multi-line product description fields. Running exclusively on a local server, our application provides absolute data sovereignty and guarantees GST compliance at the database level. Our results clearly show that our system can significantly minimize manual data entry.
